Logging off from Voicemail

Press 83 – “Goodbye” .
Note: “Log Off” ensures the ports are free for the next user.

 

Changing your password

1. Log on to Voice Mail.
2. Press 84.
3. Enter new password followed by #.
4. Enter new password a second time for verification, followed by # .
5. Enter old password followed by # (You will hear the automated operator state “Your password has been changed”.).
6. Exit by pressing 83.

 

Record/change a personal verification

The personal verification is a recording of your name used by the system in place of
your mailbox number.
Note: This in not the greeting played to your callers.

1. Log on to Voice Mail.
2. Press 82.
3. Press 5 to record. WAIT FOR TONE, then say your name.
4. Press #. The system will play the name back to you.
5. Exit – 83.

 

Record/exchange an External Greeting

The external greeting will be played to all incoming calls from off campus, and to
internal callers as well, unless an internal greeting has been recorded.
1. Log on.
2. Press 82.
3. Press 1- External Greeting.
4. Press 5 – Wait for tone to speak.
5. Press # when finished recording.
6. Press 2 – To replay Greeting.
7. Press 76- To delete greeting (Repeat steps 4 to 6 to re-record).
8. Press 4 - To return to messages.
9. Exit 83 to log off.

 

Record an Internal Greeting

This greeting need only be used if internal callers are to receive a different greeting
than the one played to all other callers.

1. Log on.
2. Press 82.

3. Press 2 – Internal Greeting.
4. Press 5 – Wait for tome to speak.
5. Press # - When Finished.
6. Press 2 – To replay Greeting.
7. Press 76 –To delete (Repeat.
8. Press 4 - To return to messages.
9. Exit 83 – To log off.
To bypass greeting- If you are calling another Voice Mail user on campus and wish to
bypass their greeting, press # and you will go directly into their mailbox.

 

Playing messages

1. Log on to Voice Mail.
2. Press 2 – To play messages.
Once the message starts to play the following commands are available:
1. Press # - To pause during playback.
2. Press 6 - To go to the next message.
3. Press 4 - To go to the previous message.
4. Press 2 - To continue.
5. Press 1 - To skip backward 5 seconds in the current message.
6. Press 3 - To skip ahead 5 seconds in the current message.
7. Press 76 - To delete message.

 

Reply to and Forwarding messages

To reply to the sender of a message:
1. Press 71 – To Reply.
2. Press 5 - Wait for the tone to speak.
3. Press # - When finished recording.
4. Press 79 – To send message.

To forward a message that you have received:
1. Press 73 – Enter mailbox number or number of mailboxes separated by #.
2. Press # # - To let Voice Mail know that you have finished entering mailbox numbers.
3. Press 5 - To record additional information prior to sending followed by #.
4. Press 79 - To send the message.
5. Press 2 - To return to listening to your message.

 

Create a Personal Distribution List

A personal distribution list is a list that contains frequently used mailbox numbers
within your Voice Mail system (such as an entire department). You can create up
to nine personal distribution lists, each containing a maximum of 99 entries!
1. Press 85.
2. Enter the distribution list number (1-9) followed by #.
3. Press 5 - To compose the distribution lists.
4. Enter the mailbox numbers or distribution list numbers, separating each with a #.
5. Press # - When finished.
6. Press 2 - To listen to the distribution list.

Remove a Distribution List
1. Select the distribution list by entering it’s number.
2. Press 76 - To delete the list.
3. Press # - To exit.

Use the Distribution List
1. Press 75 – To compose a message.
2. Enter the distribution list number followed by ##.
3. Press 5 – To begin composing the message that you want to send.
4. Press # - To end recording.
5. Press 2 - To listen to your recording.
6. Press 79 – To send.

 

Calling the sender of the message

After listening to a message, you may want to speak immediately with the person
who left the message. The extension number of that person can be automatically
dialed for you by using the Call Sender feature. It is not applicable to off campus
callers (outside lines).
1. After listening to the message press 9
2. Call Pilot calls the sender for you, talk or leave a message.

 

Setting up a Custom Operator

You can offer your callers the choice of leaving a message or speaking to a coworker.
In your greeting, you can tell callers to press zero after the tone if they
wish to speak to someone in your absence. To set this option, follow the
instructions detailed below:
1. Login to Voice Mail.
2. Press 80 – For mailbox options.
3. Press 1 – To change operator (prompt will tell you the current custom operator
number).
4. Enter the new custom operator’s number, than press #.

 

Express Messaging

Express messaging is a fast method of leaving someone a message in another Voice
Mail mailbox without logging into your own mailbox first. To do so, follow the
instructions below:
1. Dial 3001.
2. Enter mailbox number for the person you wish to leave a message, then press #.
3. If you do not know the mailbox number, press 11, to dial by name
4. Wait for the tone and then record your message.
5. Hang up.

 

Logging into Voicemail

From an Analog phone
1. Lift Receiver.
2. Dial 3000.
3. Dial mailbox number, press #.
4. Dial password, press #.

From a Digital phone
1. Lift Receiver.
2. Press Message key.
3. When connected: Press #.
4. Enter password followed by #.

From another phone within the system
1. Lift receiver.
2. Following the instructions above.
3. When connected: Enter your mailbox number followed by #; enter your password followed by #.

From off campus
1. Lift receiver.
2. Dial (902)867-3000.
3. When connected: Enter your mailbox number followed by #; enter your password followed by #
