Recording video and audio into PowerPoint

Summary

PowerPoint can record video in it's Desktop App. It can record the webcam and this can be manipulated later. The recording also can record in the correct timing annotation. It is a Powerful tool and if left in it's PowerPoint version (saved as .pptx) viewers can view subtitles that also can be translated.

PowerPoint has been around for a long time. It has defined almost 3 decades of lectures and is still widely used today. Many people have not noticed PowerPoint has been adapting to current trends in Presenting by creating a more online friendly platform inside of it's old versions. It has re-invented itself for the online and asynchronous world.

Instructions

This is for the Desktop version of PowerPoint. There is also PowerPoint online using M365 but there are subtle differences. Recording slideshows is one of the differences. This article will focus on the user opening PowerPoint on their desktop (Windows or Mac).

 

Step One: Create the Recording.

  1. Open PowerPoint on your desktop. There may be a shortcut on your desktop or Mac and Windows and open in tool bar.
    • Mac Users: Open the App Launcher in Dock and search or PowerPoint. Open PowerPoint.
    • Windows users: Type PowerPoint in the search bar at bottom of desktop. Open PowerPoint.
    • At this point, both Mac and Windows will look similar.
  2. Create or open an existing PowerPoint.
  3. It is recommended to use the notes section at the bottom of the slides to add notes of a lecture. These will work as a teleprompter for the recording. It seems like it would make the process longer, but it actually saves time to read a script.
  4. After all the lecture notes are added, review the size of the slide show. Recording over 50 slides creates a very large file. It has been noted it can be difficult for Chromebooks to open large files. Think about splitting into 2 parts if needed.
  5. In the top menu of PowerPoint, select record. 
  6. Select From beginning. It can also record from specific slides. If you had made a mistake, you can delete the recording for that slide and re-take the recording. (Notes help with avoiding verbal slip-ups.)
    • Selecting from Beginning does not start the recording. It starts the Slide show in Presentation Mode, and has a new Record button, Web cam and microphone option.
    • Beside the Web cam and Microphone icons is an option to toggle between Presenter View and Teleprompter View. This is where the notes work for the recording.
  7. Press Record and begin the lecture. The recording can be paused if a break is needed. 
  8. Annotation Tools are along the bottom of the Presenters Screen. Practice with these before starting the recording.
    • Highlighters, Pens, colours and laser points. The pointer is interesting as it draws a line, and then disappears. All annotations are recorded in timing with the audio (voice over).

Step 2: Final touches

  1. Once the Recording is complete, the web cam overlay can be moved or edited. An interesting option for an example is Art or Math. To demonstrate a task or formula in real time. The instructor can record the process with the web cam on an easel or a whiteboard. Record these "demos" on a blank slide.
  2. After the Recording is complete, the web cam view can be enlarged to cover the entire slide. This makes it a demo video inside the powerpoint.
    • In upper menu in PowerPoint, now select Video Format.
    • There are icons showing 6 or 7 video tile appearances. This option has a small chevron (down arrow) to pull down and select a different format. The default is for a circle. It can be a square for enlarging for the full screen.
    • There are also some video correction tools in this top menu to adjust contrast, brightness, etc.
  3. Once the image (picture in picture) of videos is set the correct way for the slide show, it is then ready for sharing.

Step 3: Sharing - This is for StFX version of PowerPoint on a StFX configured Laptop or Computer.

  1. In the upper right corner of the PowerPoint is a Share button.
  2. Name the PowerPoint
  3. It will ask where to share it. By Default it will ask to place on the user's OneDrive Folder. OneDrive would then sync the file to the cloud storage for sharing broadly with other users.
  4. Select the appropriate folder to upload the file.
  5. Go to that specific folder to find the file (Online in OneDrive.)
  6. Share the file like other Online files - click share, go to link settings, change to "People in St Francis Xavier" and "can't download" or "view". Click apply and copy the link.
  7. Paste the link into a Moodle course or email it to people.
