Microsoft Teams Calling Cheat Sheet

The basics of using teams calling, including utilizing a second ringer, and options for setting your out of office preference when away from the office.

Getting Started

To receive calls or make calls, you must also have Microsoft teams open.  Using the Microsoft Teams App on your computer is preferred.

 Setting up your Headset

Most staff members are given either a headset. The university provides Poly Blackwire 3320 headsets in usb a or usb-c connections.   The name of headset will be displayed at the bottom of the screen. Clicking on the name will bring up all headsets connected to your computer. Make sure you have a right right headset selected. There will be an option labeled "Device settings". Clicking this options will bring up your device settings where you can make a test call and select speaker and microphone. At the bottom of the screen in microsoft teams, under the number pad is where you can find settings for your location, forwarding, and your headset.

 Receiving Calls

When there is an incoming call, a window will appear on the right side of your screen.

Click the purple phone icon to answer the call. The red phone icon will decline the call. 

Note: This popup notification may appear in the bottom or upper corner of your screen. If you use more than one monitor, it may appear on a secondary monitor or underneath other open windows.

 Secondary Ringer (**Great Tip)

It is recommended that people set up a secondary ringer so they can hear the phone ringing. This can be done by clicking the name of the headset at the bottom of the screen then selecting "Device settings". Scroll down and there will be a header labeled "Secondary Ringer" and you will be able to select another speaker. We suggest setting it to your computers speaker, likely named "Speakers (Realtek(R) Audio)". This will make teams ring from both your computer speakers and your headset.

 Making Calls

To make calls and view call settings, select the "Calls" tab in the left side bar. In the Calls tab you can make calls, use speed dial, and review call logs. Phone calls can be made by entering a phone number or by entering a staff email, exp. jdoe@stfx.ca, or another email address of a person that you know has Microsoft teams set up.

While in a phone call, if prompted to select a number, you have to use the number pad in the call window. When on a call, a separate call window will open. along the top will ba a mute, hold, and number pad button. Clicking the number pad button will open will open a number pad and this can be used to select option in a call. The number pad in the Teams client will not work when trying to select options in a phone call.

Out Of Office

To access voice mail settings, click the 3 dots next to your profile picture in the top right corner of the screen and select settings. in the settings window select Calls. In the call settings window you can set up voice mail, automatic call forwarding, and set up group calls. 

International Calling

International calling applies anywhere outside of Canada. long distance charges will be charged to the department. If you are calling a email, exp. nmurrant@stfx.ca, that is outside of the country, long distance charges will not apply. 

Request: International calling be added to your teams account.
