Office 365 Distribution Groups and Teams

There are two options for creating distribution lists.

Distribution Groups (internal contacts only)

  • These are manageable through the web version of Outlook by signing in and going to Settings GeneralDistribution Groups > This portal
    • ​​​​​​​The page is shown in the image at the end of this section
  • Suitable for individuals/groups that only need to send emails to internal (StFX) emails and contacts
  • Lists can be Open (anyone can join), Closed (only owners can add members), or Owner Approved (individuals can request access)
  • Delivery to lists can be set to Open (anyone can send an email to all list members), Limited (only internal accounts can send to the list), or Restricted (only specific individuals can send to the list)
    • Messages come from the sender, and replies go to the sender

Microsoft 365 Groups (internal and external contacts)

  • Suitable for email distribution with both internal and external contacts
  • Group list lives in the email system
  • Group memberships can be Private (only owners can add members), or Public (internal users can add/remove themselves)
  • By default, all members can send emails ot the entire group
    • This behaviour can be changed through an administrator override
  • By default, all members can access the shared mailbox, calendar, and document library; some items can be restricted by the owner
  • Managed via the Outlook application or Outlook web
  • External contacts can be added as a guest by the group owner
  • By default, welcome messages are sent to new group members - can be disabled via administrator override
