Using a personal device for StFX Work

 

Introduction

The use of StFX University supplied computers/laptops is strongly recommended for work from home arrangements where access to administrative systems (Banner Admin Forms, OneSolution) is needed. Please do not use personal devices to access these systems.

For those who wish to use their personal computer for other tasks, including H: drive and department share access, Banner Self Service, X-Reports, Microsoft 365 web applications, etc you must adhere to the below.

Personal Computer Use Guidelines:

  • Data should be stored in Microsoft OneDrive, your H: drive or department share.
  • Refrain from using email to transfer data to yourself.
  • A VPN will be required to access specific StFX resources. Information on installing and configuring a VPN, when required is linked in the related articles.
  • Do not use USB storage devices, CDs and DVDs as they can be lost or copied.
  • Ensure computers are password-protected so data can’t be easily accessed if the computer is lost or stolen.
  • StFX documents stored locally on your system (e.g Downloads) should be purged regularly.

Minimum Security and Network Requirements

Your device must meet all of the following requirements in order to work from home using a non-St FX provided device:

Up to date and supported operating system. (Windows 11 or one of 3 latest macOS  Currently Sequoia, Sonoma, Ventura)

Check your Operating system version:

Update your operating system

Up to date browser (ex: Google Chrome, Firefox, Safari, or Edge) 

Most modern browsers update automatically, but you can confirm you are up to date using these instructions:

  • Chrome: In the upper right, click the 3-dot menu > Help > About Google Chrome
  • Firefox
  • Safari: In the Safari menu, click Safari > About Safari
  • Edge

Update your browser using the following instructions:

  • Chrome
  • Firefox
  • Safari
  • Edge: In the upper right, click the 3-dot menu > Help and Feedback > About Microsoft Edge
Up to date and active antivirus (ex: Windows Defender) 

Windows: This will vary depending on what antivirus program you are running. 

macOS: Updating your macOS to the latest version will ensure that you are compliant with security patches.  It is recommended to have an antivirus in addition.

Windows: Follow the instructions to update your installed antivirus software.

Successful and clean antivirus scan completed within the last 7 days 

This will vary depending on your antivirus software. 

Follow the instructions in your antivirus software to complete a full system scan.

A non-shared, password-protected user account. (Example: An account for "Jane Smith" where she is the only person with access is acceptable; a shared account used by other people, for example "The Smith Family" is not acceptable). 

If no one else uses your computer, you meet this requirement.

If other people use your computer, but they log in using a different account than you, you meet this requirement.

If your computer is shared by other people, you do not meet this requirement.

If you use a shared account, create a separate account just for you using these instructions:

Password protected wifi, or a wired connection 

If you and others must first enter a password in order to connect to your wireless network, you meet this requirement.

If anyone can login to your wireless network without a password, you do not meet this requirement.

Contact your internet service provider and ask them to assist in setting up a password.
High speed Internet connection  We suggest an internet connection of at least 5 Mbps. Connections slower than this may experience connectivity issues. Contact your internet service provider and ask them what speed of internet connection you have.
