Rationale

Most Collaborate recordings are simply the recordings of an online class. These are meant to be stored if a student misses the class for any number of reasons. Once the course is over, there is no reason to keep most recordings. Nevertheless, there may be a small number of recordings, e.g., special meetings or guest lectures, that you may wish to retain for future reference.

Deletion of recordings that do not need to be retained is necessary for the university to stay within allotted storage limits. Prior to deletion of old recordings, you will be notified via email and given a chance to download any recordings that you may wish to retain.

This document contains instructions for downloading any recordings you may wish to retain.

Tips

Locating recordings of interest is facilitated by knowing their dates.

One way to find the date of a guest lecture is to refer to the email sent to the guest with the link to join. Such emails can help you determine the dates of the recordings you may wish to retain.

Finding a Session

  1. Go to the Kwe' (Moodle) course page.
  2. Click on the Online Classroom link.

  • DO NOT “Join the Course Room;” simply remain on the Sessions page.

  1. Clicking on the Online Classroom link opens the familiar Sessions Page.

  1. On this page click on the 3 dashes in the upper left corner to view the side menu.

  1. The side menu shows the Sessions (current) and the Recordings as options. Click on Recordings.

Range of Dates

  1. Depending on when a session was last recorded, there may be nothing to see right away.

  • The list of recordings first shows the most recent 30 days (about 4 and a half weeks).

  • There is an option to change the filter from Recent to a “Range.”

  1. Click “Recent Recordings”

  1. Select Recordings in a Range.

  1. So far there is still nothing to display. The Range must be changed to suit the date of recording that is needed.

  1. Click the date to pop up a calendar

  1. Using the From/To drop down menus in upper left corner, select the start date for the course.

  • More specifically, to view the recordings in the range, use the arrow in the From menu to go back month by month until you get to the approximate date.

  • Click on the day, or it could be earlier to increase the chances of finding the recording.

  1. A list of all course recordings will then be displayed.

  • The list will be in chronological order, so you should find the recording of interest easily if you know its approximate date.

Downloading a Recording

  1. When the recording is located, there is an ellipsis (3 dots) at the end of the row that has a sub-menu of actions for this file.

  1. In the sub-menu is the option to Download.

  1. When the download is complete, close the recordings tab or search for other recordings you wish to retain.

Remember

The search only shows you recordings associated with the Kwe' (Moodle) course page that you are currently on. If you wish to download recordings from another course, you must redo the search via the Kwe' (Moodle) page (Online Classroom link) associated with that course.
