IT Managed Department Shares

Transition

IT Services is now offering to manage permissions on network shares for departments in an effort to reduce workload and increase information security. If you manage a department share and would like to transfer management to IT, we need the following information:

  • List of Share Owners (those who can request members be added or removed)
  • List of users with Read, Write and Edit Access
  • List of users with Read Only Access

Changes

By transferring management of the department share there is one notable change. In doing so you would still have a control over the members permitted to have access to your information, but you will no longer have the option of restricting folders to certain members.

If this is necessary for the department share, then transferring ownership to IT may not be best suited for your needs and you can continue to manage the share manually.

Managing Access

After transitioning a department share to being managed by IT you can submit a ticket if any updates are needed. You can request additional employees or permission changes through the Network Drive service article.

IT will automatically remove share access when the users' account is closed to ensure there is no future access if they return to the university.
